1 Life Travels — Privacy Policy

1. Introduction

1 Life Travels values the privacy of personal information and is committed to protecting it. This Privacy Policy describes how 1 Life Travels collects, stores, uses, and discloses personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). The policy applies to personal information obtained through bookings, enquiries, marketing activities, the website, and any other interaction with 1 Life Travels. By engaging 1 Life Travels or using its services, you agree to the practices described here.

 

 

2. Scope and application

This policy applies to:

  • Customers and potential customers making enquiries or bookings.
     

  • Travel companions whose information is provided by a customer.
     

  • Third-party service providers, contractors, or partners who engage with 1 Life Travels.
     

This policy does not apply to employee records directly related to a current or former employment relationship, unless otherwise required by law.

 

 

3. Types of personal information collected

1 Life Travels only collects personal information that is reasonably necessary for its business operations or required by law. Information collected may include:

Identity and contact details

Name, date of birth, residential or postal address, email address, and phone number.

Tour specific personal details

Third-party service providers may require additional details to allow you to travel. These details will be stored for as long as both 1 Life Travels and the third party service provider feel is necessary. These details include but are not limited to ; Weight, Height and Medical Information.

Booking and travel preferences

Itinerary details, accommodation preferences, special assistance requirements, dietary needs, or other preferences you provide.

Payment information

Billing details, payment confirmation numbers, and transaction history. Full credit card numbers are collected only through secure, PCI-DSS–compliant payment processors; 1 Life Travels does not store complete card details.

Sensitive information

Health or mobility information you voluntarily provide so travel arrangements can be tailored to your needs. Sensitive data is only collected with explicit consent or as required by law.

Online and technical data

IP addresses, device identifiers, browser type, usage logs, cookies, and analytics data to improve services and website performance.

Information is collected directly from you via forms, email, phone calls, or website interactions, or indirectly when you authorise another person to provide information on your behalf.

 

 

4. Purposes for collecting and using personal information

1 Life Travels collects and uses personal information to:

  • Confirm, manage, and administer bookings and travel arrangements.
     

  • Provide customer service, travel assistance, and support before, during, and after travel.
     

  • Process secure payments, refunds, and resolve disputes.
     

  • Comply with legal and regulatory obligations (e.g., tax and reporting requirements).
     

  • Tailor travel experiences to individual preferences and needs.
     

  • Communicate important updates, offers, or newsletters (only where you have consented or as allowed by law).
     

  • Analyse website traffic and customer behaviour to improve services.
     

  • Conduct internal administration, audits, and fraud prevention.
     

 

 

5. Legal compliance and accountability

1 Life Travels handles personal information according to the Privacy Act 1988 (Cth) and the APPs. 1 Life Travels also complies with the Notifiable Data Breaches (NDB) scheme, notifying both affected individuals and the Office of the Australian Information Commissioner (OAIC) if an eligible breach occurs.

 

 

6. Disclosure of personal information

1 Life Travels may disclose personal information to trusted third-party service providers when necessary to deliver or support travel services. These providers are engaged under terms that require them to:

  • Use personal information solely for the purpose agreed with 1 Life Travels.
     

  • Implement reasonable security safeguards to protect personal information.
     

1 Life Travels does not sell personal information to any organisation.

 

 

7. International transfers

Personal information may occasionally be transferred or stored outside Australia if required to deliver travel services. Before making any overseas disclosure, 1 Life Travels takes reasonable steps—such as contractual protections and provider vetting—to ensure the information is handled consistently with the APPs.

 

 

8. Data security

1 Life Travels takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Measures include:

  • Encryption of data in transit where feasible.
     

  • Secure servers and restricted access controls.
     

  • Staff training on privacy and confidentiality.
     

  • Regular reviews of security practices.
     

While 1 Life Travels implements these measures, no system can be guaranteed completely secure.

 

 

9. Cookies and online tracking

The 1 Life Travels website uses cookies and similar technologies to:

  • Maintain website functionality and remember user preferences.
     

  • Measure website performance and analyse traffic patterns.
     

  • Deliver personalised content and marketing communications (where legally permitted).

1 Life Travels retains personal information only for as long as necessary to fulfil the purposes for which it was collected or to meet legal obligations. For example:

  • Booking and payment records are usually retained for seven years for accounting and tax purposes.
     

  • Marketing preferences are retained until you opt out or request deletion.
     

  • Complaint and support records are retained for statutory limitation periods.
     

Once the retention period expires, personal information is securely destroyed or de-identified.

 

 

11. Access, correction, and complaints

You have the right to:

  • Request access to personal information held by 1 Life Travels.
     

  • Request corrections to ensure the information is accurate, up to date, and complete.
     

Requests should be directed to office@1lifetravelsau.com. 1 Life Travels will respond within a reasonable timeframe.

If you believe 1 Life Travels has not handled your information appropriately, you may lodge a complaint with the Privacy Officer. If unresolved, you may contact the Office of the Australian Information Commissioner (OAIC) at https://www.oaic.gov.au.

 

 

12. Direct marketing

1 Life Travels may use personal information to send newsletters, promotions, or updates about services. You can opt out at any time by selecting “unsubscribe” in marketing emails or by contacting office@1lifetravelsau.com. After opting out, 1 Life Travels will cease marketing communications except for essential service notices.

 

 

13. Sensitive information

Sensitive information—such as health details—is only collected when necessary for travel services or legal obligations, and only with your explicit consent. Such data is disclosed only to relevant third-party service providers to deliver requested services and is protected with additional safeguards.

 

 

14. Data breach notification

If a data breach is likely to result in serious harm, 1 Life Travels will investigate promptly, take steps to minimise risk, and notify both affected individuals and the OAIC under the NDB scheme.

 

 

15. Third-party websites

The 1 Life Travels website may contain links to external websites. This Privacy Policy does not govern those sites, and 1 Life Travels is not responsible for their privacy practices. You should review the privacy policies of any external sites you visit.

 

 

16. Changes to this Privacy Policy

1 Life Travels may update this Privacy Policy to reflect operational changes or legal requirements. Updated versions will be posted on the 1 Life Travels website with a revised “Last updated” date. Material changes may also be communicated by email or highlighted on the website.
